Why is TeamworkIQ better than basic task list apps for managing processes and teamwork?

There are big differences between task list apps (a.k.a todo list apps) and TeamworkIQ. Both have “task” features. However, TeamworkIQ is smarter, does more, and saves you more time.

What is a task management app?

A task management app is another term for a to do list app. It is software designed to keep track of tasks that need to be done. In some cases task management apps allow tasks to be assigned to other people.

What is a todo list app?

A todo list app is software designed to keep track of tasks that need to be done. In most cases todo list apps are optimized for personal tasks, but many todo list apps also let tasks be assigned to other people.

Tedious for
process management.

Task Management

Both TeamworkIQ and task list apps track task assignments for work that needs to be done. However, TeamworkIQ automates the processes, procedures, and workflows outlined in the task list. With task list apps you’re responsible to keep work moving forward and let people know when next steps are ready to do.

Workflow automation

TeamworkIQ lets you define any step-by-step workflow with multiple levels of subtasks. You can easily enforce the order of steps. Just outline your process with numbered bullets. If you use regular bullets, that tells TeamworkIQ that work can be done in any order. Task management tools usually you to manage the transitions of work from one task to the next. The ‘workflow’ for task management usually consists of “not started”, “in-process” and “done” not an end-to-end workflow for the entire process. Accordingly, task management’s workflow concepts align with task completion statuses which must be manually changed from one to the other by a user. In contrast, process management workflow automates multi-step processes handling the transition from one step in the process to the next automatically.

Conditional logic

Workflow software includes automated processes that support conditional logic. For example, an approval step in the process may ask someone to review and approve or reject work. Based on the decision made, a different path through the workflow will be followed. An approval moves work forward. A rejection stops the process, but may also trigger other work to be done. Task list apps and task management software lack the notion of conditional logic and branching workflows. TeamworkIQ supports the ability to branch the workflow based on decisions to opt-into or out-of a branch of the workflow.

Dynamic due dates

TeamworkIQ calculates task due dates for you. For example, in a recurring process or a standard procedure that gets used again and again, due dates are typically set relative to other dates in the process. Words like “due 5 days after {checklist started}” or “1 week after {kickoff date}”, or “6 months after {new hire date}” can be used to set due dates. As soon as you tell TeamworkIQ the key dates it calculates all the other due dates for you. Task management software requires that you manually set each date by hand. That requires tedious work and is error prone. Without an overarching process that defines the steps and substeps, tasks and subtasks for a process, there’s no need for task management software to have automated due dates. Instead, the project manager is left to put their time and effort into coordinating all the tasks. TeamworkIQ is smarter than that.

Process templates

With some task management apps you can make a copy of a task list in order to use it again. However, when you do, if the work needs to be assigned to different people with different due dates, you’ll need to manually reassign each of the tasks. That takes lots of time to do. TeamworkIQ is smarter than that. TeamworkIQ’s process templates are different in two very important ways. First of all, tasks need not be assigned to individual people. They can be assigned to roles. Roles can be anything you want. For example: “HR Manager” or “Supervisor”. Then, when a new workflow is started, the role can be assigned to a specific person. Now that person is responsible for all tasks assigned to that role. The same is true for due dates. Due dates can be defined relative to other dates. For example: “2 days after {new hire date}”, “3 weeks after {checklist started}”, “1 month after {customer start date}”. TeamworkIQ’s smarts calculate the due dates automatically for you.

Why is TeamworkIQ smarter and better than a task list app or a todo list app?

TeamworkIQ, task list apps, and todo list apps all use simple checklists to keep track of work. However, TeamworkIQ’s checklists not only handle task management, they also manage the actual workflow of the processes outlined in the task list. With TeamworkIQ the checklists you create can outline step-by-step processes, standard operating procedures, and workflows. Just use numbered bullets to outline the sequence of work and subtasks. When you do, TeamworkIQ coordinates all the process steps for you. It assigns next steps in the process as soon as prior process steps are completed. With todo list apps or task list apps, all tasks get assigned at once, then it’s up to you to manually track work and keep it moving forward to make sure transitions from one person to another happen without delay.

When typing up a process, it’s typical to define a sequence of steps that can be repeated so that using and reusing those steps always lead to a high-quality outcome. For example: the process of onboarding a new employee or a new customer. In contrast, task lists are often aligned with project-oriented work that’s unique in nature. For example, preparing for a trade show, or, task todo reminders for small projects that need attention.

Accordingly, task list apps and todo list apps are optimized for projects. TeamworkIQ is optimized for workflows and processes. Using one to do the job of the other results is painful. Coordinating recurring business processes, procedures, and workflows with software like Wunderlist, Todoist, or Any.do, is like spreading thick peanut butter on bread. It’s doable but painfully slow. Lots of time and attention is required to move things along while making sure nothing goes wrong (potentially leading to a sticky situation). On the other hand, automated workflows are more like factory machines that apply peanut butter to cookies moving along a conveyor. Work moves forward and the process repeats with predictable precision and high quality results. Both involve spreading peanut butter but depending on your objective, one is more optimal than the other.

TeamworkIQ is designed to make managing your business processes easy. Simply type up who needs to do what as you would in a document. Then use that process document again and again to kickoff new, automated workflows and let TeamworkIQ manage them for you start-to-finish.
